Exhibitor terms and conditions

These terms apply to everyone taking a stall, running a workshop, giving a talk, or showing a
collection at Sustainable Fashion Week Hub Torquay 2026. Please read them before you apply —
submitting an application means you accept them.

1. Who we are

The event is organised by Minycled Ltd (“we”, “us”, “the organiser”), a company
registered in England and Wales, company number 13126547, registered office
16 Lucius Street, Torquay, TQ2 5UN. You can reach us at
sfwTQ@minycled.co.uk.

In these terms, “you” means the exhibitor, maker, workshop host, designer or organisation applying
to take part.

2. The event

Sustainable Fashion Week Hub Torquay 2026 takes place at The Hampton by Hilton, The Terrace,
Torquay, TQ1 1DP on Saturday 26 September 2026, 10:00–17:00 and
Sunday 27 September 2026, 10:00–16:00.

3. Booking and being accepted

Bookings close on 25 August 2026.
To be included in the A Single Thread printed booklet and press materials, book by
30 July 2026 at 12pm. After that you’ll still be listed on our website.
You book and pay for your stall through this website. Payment is taken at the time of booking,
and your place is held from that moment.
Every booking is then checked by a person, to make sure the work fits the event’s sustainable
focus and that you hold the insurance we require. This normally takes a few working days.
We may decline a booking — for example where the work doesn’t fit the event, or where a
category is oversubscribed. If we decline yours, you get a full refund.
Your place is fully confirmed once we have checked your booking and received your insurance
certificate.
We’ll email you either way.

4. Fees and payment

Stall fees and optional extras are set out on the exhibitors page.
Payment is taken in full at the time of booking. We don’t hold unpaid
reservations, and we don’t invoice after the event.
Minycled Ltd is not currently VAT registered, so no VAT is charged on these fees.
Payments are taken securely by Stripe. We never see or store your card details.
You’ll receive an order confirmation by email. Keep it — it’s your receipt and your
booking reference.
Electricity and premium corner positions are limited and allocated in booking order. If we
can’t supply one you’ve paid for, we’ll refund that item in full.

5. Cancellation and refunds

Our full refund timetable is set out in our
refunds and cancellations policy. In summary:

If we can’t offer you a place, you get a full refund.
If you cancel on or before 1 September 2026, full refund.
Between 2 and 15 September, 50% refund.
From 16 September, no refund — your space has been allocated.
If we cancel or move the event, you get a full refund or can transfer your booking.

We always look sympathetically at exceptional circumstances. Please just talk to us.

6. Insurance

You must hold public liability insurance with a minimum limit of £5,000,000,
valid across both event days.
If you sell physical products, your policy must also include product liability cover.
You must email us a copy of your certificate before your place is confirmed, and bring proof
with you to the event.
You are responsible for insuring your own stock, equipment and belongings. We do not insure
them, and we are not responsible for loss, theft or damage.

7. Health, safety and your stall

You must provide a short written risk assessment covering your stall or activity.
Any electrical equipment you bring must be in good working order and PAT tested where required,
with certification available on request.
You must follow all reasonable instructions from the organiser, the venue and its staff,
including fire safety and evacuation procedures.
Gangways, fire exits and fire equipment must be kept clear at all times.
Your stall must be set up and staffed for the full opening hours of each day you’ve booked.
Please don’t pack away early — it affects everyone around you.
Set-up and take-down times will be confirmed by email before the event.
You are responsible for removing your own waste and leaving your space as you found it.

8. What you sell, and what you say about it

You keep 100% of your sales income. We take no commission.
You are responsible for your own pricing, taking payment, issuing receipts, and accounting for
any tax due.
Your goods must comply with UK consumer protection, product safety and labelling law.
Any claims you make about sustainability, materials or origin must be accurate and something
you can evidence if asked.
You must own, or have permission to use, any designs, images, logos and branding you display
or sell.
We may ask you to remove any item or display that is unsafe, misleading, or inconsistent with
the values of the event.

9. Workshops

Workshop hosts pay for exhibition space in the usual way, and keep 100% of their workshop income.
Once your workshop is confirmed we list it on this website so the public can reserve a place.
Reserving costs a small booking fee, paid to us at the time of booking. It exists to reduce
no-shows, which waste your materials and your time.
We pass every booking fee on to you in full after the event, along with a list of who booked.
We keep none of it.
Any balance is yours to collect from participants on the day. Please bring
your own means of taking payment.
You set your own fees, and you’re responsible for delivering the session you described in
your booking. If you have to cancel a workshop, tell us as soon as you can so we can refund the
people who booked.
You must provide your own materials and equipment unless we’ve agreed otherwise in writing.
Anyone under 16 must be accompanied by a parent or carer, who stays for the session.
Participants aged 16 and 17 may attend unaccompanied with a parent or carer’s written consent.
Hosts are not left alone with under-18s. A member of the organising team or the young person’s
parent or carer will always be present.
If your workshop involves sharp tools, heat, dyes or machinery, say so clearly in your
application so we can agree suitable age limits and supervision.

10. The fashion show

Designers arrange their own models. We cannot guarantee models, so please start planning early.
Designers are responsible for their own garments and fittings, and for anyone they bring with them.
Any model under 18 must have written consent from a parent or carer, and must be accompanied
backstage by that parent or carer.
Running order, timings and rehearsal arrangements are set by the organiser and confirmed in advance.

11. Photography and promotion

A photographer documents the event for promotional use. You can opt out on the application
form or by telling the team on the day, and it makes no difference to your application.
By taking part you allow us to use your business name, your description and the images you
supply to promote the event on this website, in print and on social media.
Exhibitor listings and social media promotion are subject to our marketing deadlines, which
we’ll confirm by email.
A Look Book photoshoot is a separate paid service, booked and paid for in advance through
this website. Slots are limited. General event photography remains included for everyone.

12. Our liability

We take reasonable care in organising the event, but we are not liable for loss of profit, loss of
expected sales, or any indirect loss arising from your participation. Where we are liable, our
total liability to you is limited to the stall fee you have paid.

Nothing in these terms limits our liability for death or personal injury caused by our negligence,
for fraud, or for anything else that cannot be limited by law.

13. Events outside our control

If the event has to be cancelled, shortened or moved because of something outside our reasonable
control — including severe weather, venue closure, public health restrictions or failure of
essential services — we’ll tell you as soon as we can and set out your options under
section 5.

14. Cancelling your place

We may cancel your participation, without refund, if you breach these terms in a serious way. That
includes failing to hold valid insurance, refusing to follow safety instructions, or behaving in a
way that puts others at risk or brings the event into disrepute.

15. Your information

How we handle your personal information is set out in our
privacy policy.

16. Governing law

These terms are governed by the law of England and Wales, and any dispute will be dealt with by the
courts of England and Wales.

17. Questions

If anything here is unclear, please ask us before you apply. We’d much
rather explain something than have you agree to terms you’re unsure about.
